JOB SUMMARY                                      Salary: $40,000 - 50,000 D.O.E.

 

Provide assistance to the executive management team, including all administrative duties, board activities, presentations, travel and special event planning. 

 

ESSENTIAL RESPONSIBILITIES

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate a high level of customer/client service

  • Manage multiple C-Level Executive’s calendar activity, including sorting, prioritizing and scheduling appointments and meetings

  • Demonstrate a high level of emotional maturity, flexibility, and responsiveness

  • Show strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with an excellent attention to detail

  • Coordinate both domestic and international travel for various departments to include airfare, hotel, and ground transportation

  • Prepare and distribute detailed travel itineraries; maintain traveler files

  • Plan and direct programs, events, or conferences by arranging for facilities and catering, as well as issuing information or invitations, coordinating speakers and guests, and overseeing event budget

  • Assist marketing team with tradeshow coordination and ordering of marketing collateral as needed

  • Prepare and/or edit documents such as spreadsheets, agendas, correspondence, forms, reports and standard operating procedures

  • Work cooperatively/collaborate with other EAs and admins as needed with special projects, daily needs, company programs, and corporate-sponsored events

  • Assist with company and executive errands

  • Screen incoming calls and correspondence, responding independently when needed

  • Complete expense reports on behalf of executives as needed

  • Order and maintain supplies, and arrange for equipment maintenance

  • Conduct research and compile statistical reports

  • Communicate with internal staff at all levels

  • Act as custodian of corporate confidential documents and records, maintaining an up-to-date filing system

  • Maintain relationships with various company vendors, seeking out additional vendors as needed

  • Maximize office productivity through proficient use of appropriate software applications

  • May be requested to work overtime and weekends, and be reachable by phone and/or email after hours; Travel is required at the discretion of management

  • Other duties may be assigned
